Travel Options
If necessary, we can provide travel support for attendees. However, we strongly recommend that you have your travel covered by your home institution. If other students from your institution are also attending, it may be helpful to coordinate some parts of your travel.
If you are in need of travel support, DO NOT MAKE ANY RESERVATIONS BEFORE CONTACTING US. Email us at tamu.cuwip@gmail.com and we will make the necessary arrangements. The last date to send us receipts for reimbursement is December 15.
Getting to College Station
- Flying directly into College Station: College Station has its own airport (Easterwood Airport, CLL), a 15 minute drive from the TAMU campus. Hotel shuttles will be available to take you to the hotel.
- Flying into Houston/Austin: If flying into Houston, you can choose between Bush International Airport (IAH) or William P. Hobby Airport (HOU). If flying into Austin, your only option is Austin-Bergstrom International Airport (AUS). We do not recommend that you fly into Dallas as transport to and from College Station is extremely limited.
- If you do travel via Houston/Austin, we strongly recommend that you utilize the Ground Shuttle service. Please check their website for schedules. We recommend choosing the conference site as your drop-off location, not the Ground Shuttle office. Make sure to book your shuttle ride when you book your flight! Rental car services are also available at all the airports mentioned.
- Driving into College Station: If you are driving into College Station, please contact your home institution about getting reimbursed based on your mileage or gas. If you plan on carpooling with other CUWiP attendees, we will send out a list of registered students for our site after registration closes.
Childcare
If childcare during CUWiP is needed, there are a couple of local babysitting options available to those who are still looking for accommodation.
- (note: it is past the deadline for this childcare service) The student organization, Prolife Aggies, offers free babysitting on campus with enough notice. If any would like to take advantage of this service, we need to let them know by Wednesday morning at 10:00am. The children and babysitters will likely hang out in one of the empty classrooms or lounges in the Mitchell Physics building (right next door to the conference).
- Alternatively, the mother of a Local Organizing Committee member is offering a structured babysitting service all day Saturday and until one on Sunday (for the duration of the conference). There is an hourly fee associated with this service at $8/hr and it’s on a first come first serve basis. There are currently two children enrolled in this service (one for part and one for the duration of the conference).
If needed, you can request the cost be partially or fully reimbursed/subsidized by TAMU. For more information on the second service or the schedule of activities/menu, please contact scantu3@tamu.edu directly.
Accommodations
Students will be hosted at the Cavalry Court, located at 200 Century Court, College Station. You will receive the specifics of your accommodation closer to the conference date. DO NOT MAKE RESERVATIONS AT CAVALRY COURT; lodging will be paid for and handled by us. We plan for two students per room.
If you would like to room with someone, you can indicate this on the site-specific survey we will send out before the conference. Please make sure that the person you want to room with also indicates that they would like to room with you.
Meals
Breakfast will be served at the hotel. Lunch and dinner will be served at the conference venue (specific locations will be given in the future). If you have any dietary restrictions, you can indicate so on the site-specific survey that will be sent out closer to the conference.
Parking
Parking during the conference will be available in the Northgate parking garage next to the Mitchell Physics Building. Parking will also be available at the Calvary Court, where conference lodging will be held. Participants will be walking from Calvary Court to the Mitchell Physics Building each day, which is around a seven minute walk.
